QuickBooks Report by Expense Category
A QuickBooks report by expense category shows how much you spent in each expense account for a period. In QuickBooks Online the quickest version is the Profit and Loss by Month; for the transactions behind each category, run Transaction Detail by Account.
Export Transaction Detail by Account, upload it, and ask "which expense categories grew most this year, and which vendors drove it" — answered with the rows behind each number.
Expenses by category, month by month
Reports → Profit and Loss, set the period, then Display columns by Months and Run report. Every expense account is a row and every month a column. Export to Excel from the export icon. This answers "how much per category" but not "on what".
The transactions behind each category
Reports → Transaction Detail by Account, set the period, and in Customize filter Account to your expense accounts. Each row is one transaction with Date, Transaction Type, Name (the vendor), Memo/Description, Account and Amount. Export to Excel: this is the file to analyse by vendor as well as category.
Categories and vendors together
In Excel, a PivotTable on the Transaction Detail export with Account in Rows, Name in Columns and the sum of Amount in Values shows which vendors make up each category. Remove the account subtotal rows QuickBooks writes into the export before you pivot, or they are counted twice.

What usually goes wrong with it
Subtotal rows inside the export
QuickBooks writes a Total line under each account, so a PivotTable on the raw export counts every category twice.
DataMimi It finds the Total rows, checks them against what they add up, and leaves them out.
Transaction Type is not in or out
Invoice, Bill, Check and Expense describe the document, not the direction of money; the sign of Amount says that.
DataMimi It reads a QuickBooks Transaction Detail by its headers and uses the sign of Amount for money in and out.
Title rows above the header
The export starts with the company name, report name and dates, so the header is not on row 1.
DataMimi It finds the real header row under the title lines and says which row it used.
Categories renamed mid-year
An account renamed or merged part way through the year splits one category into two rows.
DataMimi It lists near-identical account names so you can combine renamed categories.
Common questions
Does QuickBooks have an expense report by category?
Yes: the Profit and Loss report lists every expense account; display columns by Months to see each category over time.
How do I see expenses by vendor within a category in QuickBooks Online?
Run Transaction Detail by Account filtered to expense accounts, export it, and group Amount by Account and Name.
How do I export a QuickBooks expense report to Excel?
Run the report, then use the export icon at the top right and choose Export to Excel.
Why do my totals double when I pivot the QuickBooks export?
The export includes a Total row under each account. Remove those rows, or use a tool that recognises them, before summing.
How do I compare expense categories year over year?
Run the Profit and Loss with Compare another period checked, or export two years of Transaction Detail and group by account and year.
Try it with your own file
DataMimi reads the file you actually have — merged cells, headers below row one, totals pasted at the bottom — and shows which rows and columns every number came from.
