Sales Pipeline Analysis Spreadsheet

CRM pipeline exports arrive as spreadsheets with deals, stages, amounts, and dates, but no analysis built in. This tool reads those exports and calculates win rate by stage, average deal velocity, conversion rates between stages, and weighted revenue forecasts.

Probability formatting in CRM exports

Some CRMs export probability as a decimal (0.5 for 50%), others as a percentage (50), and some as text ("50%"). The tool detects which format your file uses and converts it correctly before calculating weighted forecasts. If the Probability column is missing, it assigns standard probabilities by stage name (Qualified = 20%, Proposal = 50%, Negotiation = 75%).

Handling deals with no close date

Open deals have a blank Close Date, and closed-lost deals sometimes have a close date, sometimes not. The tool treats any deal with Stage containing "closed" or "lost" or "won" as closed, regardless of whether Close Date is filled. For velocity calculations, it uses Last Activity Date as a fallback when Close Date is missing.

Common questions

How do I calculate win rate from a CRM export?

Win rate is closed-won deals divided by total closed deals (won plus lost). Filter the Stage column to closed-won and count those rows, then filter to closed-lost and count again, then divide the first by the sum of both. This tool does that filtering and division automatically when you upload the file.

What is deal velocity and how do I measure it?

Deal velocity is the average number of days from deal creation to close. Subtract Created Date from Close Date for every closed-won deal, then average those day counts. The tool calculates this across all won deals and can break it down by stage or rep.

How do I calculate stage conversion rates?

Stage conversion rate is the percentage of deals that move from one stage to the next. Count deals that reached Proposal, then count how many of those reached Negotiation, then divide. The tool tracks every stage transition and shows conversion percentages for each step in your pipeline.

How do I forecast revenue from open deals?

Weighted revenue forecast multiplies each open deal's Amount by its Probability, then sums the results. If your export has a probability column (often 10%, 50%, 90% by stage), the tool applies those weights automatically. If not, it uses standard stage probabilities.

Can I compare sales rep performance from the pipeline export?

Yes. The tool groups deals by the Owner column and calculates win rate, average deal size, and deal velocity for each rep. You can see which reps close fastest, win most often, and bring in the largest deals.

What is a sales pipeline analysis spreadsheet?

A sales pipeline analysis spreadsheet is a CRM export containing deal records with stages, amounts, dates, and probabilities. The export itself has no built-in metrics. This tool reads the spreadsheet and calculates win rates, deal velocity, stage conversion, and weighted forecasts without formulas or pivot tables.

Try it with your own file

DataMimi reads the file you actually have — merged cells, headers below row one, totals pasted at the bottom — and shows which rows and columns every number came from.
